Uploading Documents

Store and organize your pet's important health documents.

Keep all your pet's important documents in one place. From vet records to insurance policies, Petfolio lets you upload and organize files for easy access.

Types of Documents

Common documents to store:

  • Vaccination certificates - Proof of immunizations
  • Vet visit summaries - Notes from appointments
  • Lab results - Blood work, urinalysis, etc.
  • Prescriptions - Medication instructions
  • Insurance policies - Pet insurance documents
  • Registration papers - Breed registration, microchip info
  • Adoption papers - Records from shelters or rescues
  • Travel certificates - Health certificates for travel

Uploading a Document

To add a document:

  1. Go to your pet's Health page
  2. Find the Documents section
  3. Click Upload Document
  4. Select a file from your device
  5. Add details:
    • Document name - A descriptive title
    • Category - Type of document (optional)
    • Date - When the document is from (optional)
    • Notes - Additional context (optional)
  6. Click Save

Supported File Types

  • PDF - Best for multi-page documents
  • Images (JPEG, PNG) - Photos of documents
  • HEIC - iPhone photos (automatically converted)

File Size Limits

  • Maximum file size: 10 MB per document
  • For larger files, try compressing or splitting them

Organizing Documents

Categories

Organize documents by type:

  • Vaccinations
  • Vet records
  • Lab results
  • Insurance
  • Prescriptions
  • Other

Select a category when uploading, or change it later.

Naming Tips

Use descriptive names that are easy to search:

  • Good: "Rabies Vaccination Certificate 2024"
  • Good: "Annual Wellness Exam - March 2024"
  • Not helpful: "Document1" or "IMG_4523"

Viewing Documents

To access your stored documents:

  1. Go to the Documents section
  2. Browse the list or filter by category
  3. Click any document to view
  4. PDFs and images open in a viewer

Document Details

Each document shows:

  • Name
  • Category
  • Upload date
  • File type/size
  • Any notes you added

Downloading Documents

To save a document to your device:

  1. Open the document
  2. Click Download
  3. The file saves to your downloads folder

Useful for:

  • Printing vaccination records
  • Sending to a new vet
  • Backup purposes

Editing Document Information

Update document details:

  1. Click on the document
  2. Select Edit
  3. Change the name, category, date, or notes
  4. Click Save

Note: You cannot edit the actual file content. To replace a document, delete it and upload the new version.

Deleting Documents

To remove a document:

  1. Click on the document
  2. Select Delete
  3. Confirm the deletion

Deleted documents cannot be recovered. Download a copy first if you might need it.

Linking Documents to Records

Connect documents to related records:

With Vaccinations

When adding a vaccination record:

  1. Look for Attach Document
  2. Select an existing document or upload new
  3. The document is linked to that vaccine

With Appointments

After a vet appointment:

  1. Mark the appointment complete
  2. Upload any documents from the visit
  3. Link them to the appointment record

Scanning Paper Documents

To digitize paper records:

Using Your Phone

  1. Use your phone's camera or a scanning app
  2. Ensure good lighting and a flat surface
  3. Capture the full document
  4. Save as PDF or image
  5. Upload to Petfolio

Scanning Apps

Free apps that work well:

  • iPhone: Notes app has built-in scanning
  • Android: Google Drive has a scan feature
  • Both: Microsoft Lens, Adobe Scan

Quality Tips

  • Place document on a contrasting background
  • Ensure even lighting (no shadows)
  • Hold phone directly above, not at an angle
  • Check that text is readable before uploading

Sharing Documents

When sharing your pet's profile:

  1. Enable Health Information in share settings
  2. Documents are included in the share
  3. Sitters and family can view (not download) documents
  4. Useful for boarding facilities needing vaccination proof

Document Security

Your documents are:

  • Stored securely in the cloud
  • Accessible only to you and people you share with
  • Encrypted in transit
  • Backed up automatically

We recommend keeping copies of critical documents in another location as well.

Best Practices

  • Upload promptly - Add documents soon after receiving them
  • Name clearly - Use descriptive, searchable names
  • Categorize - Make documents easy to find later
  • Review annually - Remove outdated documents, ensure current records are present
  • Keep originals - Don't rely solely on digital copies for legal documents
